Begin with the problem

Do not start with “We need AI.” Start with “What is slowing us down?” Maybe your team spends too long writing follow ups. Maybe customer notes are scattered. Maybe sales calls are not prepared properly. Maybe onboarding changes every time. Maybe nobody knows which tasks need attention. That is where AI can help. Keep the first use case small. Choose one job for AI, such as summarising meeting notes, turning notes into a checklist, or drafting a follow up email. Do not try to automate the whole business at once.

Use fewer tools better

Before adding a new tool, check whether AI already exists inside the tools you use. Then ask: Does this fit our workflow? Will the team actually use it? Can we control the data? Does it save time? Does it make the next step easier? If the answer is no, do not add it.
