How to Review an AI Tool Before Using It

Before signing up for a trial, ask: What specific bottleneck does this solve? If you can't name a task that takes 2+ hours a week and will be significantly improved by this tool, you probably don't need it. Avoid adding tools because they are trending; add them because they make the business easier to run. Ask your team if they actually want it. Technology forced from the top down often becomes 'Shelfware'—software that is paid for but never used. If the people doing the work don't see the value, the tool will eventually fail to integrate into your daily operating rhythm.

A useful AI tool should fit into the way you already work. Ask: Where will the output go? If the AI produces a great summary but there is no easy way to get that summary into your CRM or knowledge base, the tool will eventually be ignored. It creates another silo of information that you have to check manually. Look for 'Connectors.' Does the tool talk to your email, calendar, or file storage? A tool that exists in isolation is a liability for a small team. The most valuable AI is the one that sits inside your existing system, enriching your data rather than scattering it across the web.

Always look for the 'Data Privacy' or 'Business Plan' page. Look for a specific clause that says 'Inputs are not used to train our models.' If the tool is free or the policy is vague, assume they are harvesting your data to improve their public system. In a professional context, giving away your proprietary business logic is too high a price to pay for a 'free' tool.
